How to write a business quote

Describe the work, identify both parties, price the items, explain the boundaries, set a validity date and ask for a clear customer decision.

Start with the customer’s request.

Write down the location, desired result and constraints before pricing. For a sink repair, confirm which fixture leaks and whether the affected pipework is accessible. If a detail changes the price, record it as an assumption or investigate it first.

Use the business name and contact details your customer recognizes. Add the customer’s name and job address so a forwarded document still makes sense.

Build the quote in a deliberate order.

Keep descriptions specific enough for a customer to compare the quote to the conversation.

  1. Give the quote a new number, issue date and job reference.
  2. Describe the proposed result and what is included.
  3. List exclusions and assumptions that affect scope or price.
  4. Add quantities, units and selling rates; check every line amount.
  5. Enter only the tax and discount you have confirmed.
  6. Add proposed timing, payment terms and any deposit request.
  7. Set the valid-until date and review the complete document.

Example: an accessible kitchen sink repair.

The quote proposes a service call at $75, 1.5 hours of labor at $100, and replacement parts at $45: $270 in total with tax unset. The exclusions say that hidden pipework and wall repairs require a separate price. The assumption is that existing connections can be reached safely.

The customer can now evaluate both the price and the boundary of the work. If inspection reveals a different problem, issue a revised quote before asking for a fresh decision.
